A Turkish factory prices a hotel furniture package line by line. Every line needs a size, a build, a finish and a quantity before it gets a unit price. The more of that the RFQ carries, the faster and the closer the first quote. Rovers reads the RFQ before any factory sees it, fills what can be filled from the drawings, and lists the rest as questions or stated assumptions.
The short list
| Send | Why the factory needs it |
|---|---|
| BOQ or FF&E schedule | One line per item: the base of the price |
| Drawings (plans, elevations, details) | Sizes, joints and fixings the schedule doesn’t say |
| Finish schedule and samples or codes | Veneer, lacquer, laminate, fabric and metal finish drive cost |
| Quantities per room type and in total | Unit price depends on run length |
| Delivery city and Incoterm | EXW, FCA, CIF or DAP site changes what the price includes |
| Opening date or install dates | Sets the production slot and the shipping plan |
| Specification or brand standards | Fire, durability and hardware rules per market |
The BOQ columns that price a line
A BOQ that a factory can price without a round of questions carries these columns:
| Column | Example | What goes wrong without it |
|---|---|---|
| Item code | GR-04 | Lines get mixed up between rooms and revisions |
| Description | Nightstand, one drawer, open shelf | The factory guesses the build |
| Location / room type | King room, twin room, suite | Quantities can’t be checked against the plans |
| Size (W × D × H, mm) | 550 × 450 × 600 | The price is for the wrong size |
| Material and core | Oak veneer on MDF, solid oak edge | Veneer, laminate and solid wood are priced differently |
| Finish code | WD-02 matt lacquer | The sample can’t be matched |
| Hardware | Soft-close runners, push latch | Runner and hinge grade change the price per piece |
| Fabric and filling | COM fabric, CMHR foam | Fire testing and yardage are left out |
| Quantity | 120 | The unit price can’t be set |
| Drawing reference | ID-301 rev C | The price and the drawing drift apart |
If one of these is blank for a line, the line can still be priced, but the quote will carry an assumption for it.
If you only have drawings
Many RFQs arrive with interior design drawings and no list. That is enough to start. Rovers takes off a schedule from the plans and elevations: each piece, its size from the drawing, its room type and its count from the floor plans. Materials come from the finish schedule or the renders. Every line in the returned quote says what it was read from and what was assumed, so the designer can correct a line instead of re-sending the whole package. For an apartment building, the schedule is taken off per unit type (residential packages).
If you only have a room count
A room count and a target standard (for example 120 king rooms and 40 twins at an upscale level) gives a first budget schedule. It uses a typical room package per room type and is useful for a go/no-go on budget. As the drawings arrive, they replace the budget lines one by one, and the order price follows from them.
Gaps that delay a price
| Gap | What happens | The fix |
|---|---|---|
| Sizes missing or “TBC” | The factory prices a typical size and flags it | Give the size, or a max envelope |
| Finish as “to match design intent” | No sample, no price | A finish code or a photo of the reference |
| Quantities only per floor, not per type | Totals don’t reconcile | One count per room type, plus totals |
| Fabric not chosen | Upholstery lines go out with an allowance | Name a fabric, or say COM (customer’s own material) |
| No delivery city or Incoterm | Freight left out, or priced twice | Name the city and the term (ICC Incoterms 2020) |
| Several drawing revisions in one pack | Lines priced off the wrong revision | Send the current set only, with revision letters |
| Fixed joinery and loose furniture mixed | Site work priced as factory work | Split the two, or mark site-fitted lines |
| Market not stated | Fire and duty rules unknown | Name the country: duty can change by line |
The market matters for more than freight. In Canada, for example, wooden bedroom furniture carries a 9.5% MFN duty while wooden furniture classified as non-domestic is free (CBSA Customs Tariff 2026). The HS code a line falls under belongs in the quote.
What comes back
A first quote from Rovers lists every line with a unit price and a total in the stated currency, the Incoterm and delivery place, the assumptions per line, the questions that would change a price, and the production and shipping plan against your dates.
What to send us
Send the BOQ or the drawings, the finish schedule, the room-type counts, the delivery city and Incoterm, and the opening date. If all you have is a room count, send that: the first reply says what is needed to price every line.
